Overview as of April 15, 2022


CALS employees with existing remote work agreements:

  • With supervisory and unit approval, employees may extend their remote work agreement from the current end date of June 30, 2022 through August 31, 2022
  • CALS HR is partnering with departmental/center HR staff and supervisors/managers to automatically extend existing remote work agreements without the need to re-submit the online remote work agreement form
  • Employees will receive written notification no later than June 30, 2022 regarding the status of their remote work agreement extension request

For brand new agreements:

Beyond August 31, 2022:

  • CALS expects to revisit the current approach after the fiscal year given the number of significant leadership changes scheduled to occur at the system, campus, and college level in the coming months and based on the latest public health and operational considerations
  • CALS continues to expect most job responsibilities to be carried out primarily on-site and that all departments/units consider equitable application of the campus remote work policy

Reminders:

  • Remote working agreements only pertain to employees with remote work on a recurring, weekly schedule
  • Off-site work arrangements resulting from accommodations, for example, for medical reasons, will continue to follow the existing, separate process
  • Remote work agreements are unnecessary for workplace flexibilities, such as attending a dentist appointment
    • These nonrecurring flexibilities will continue to be agreed upon by employees and supervisors in accordance with UW–Madison leave policies

+Key dates for summer 2022
  • June 30, 2022: Employees who receive supervisory approval to continue their remote work agreement, as is, through the end of the fiscal year, will receive written notification by this date regarding the status of their remote work agreement
  • August 31, 2022: This is the latest date a for which a remote work agreement will be extended

  • For those employees with existing remote work agreements, CALS Human Resources (HR) is partnering with departmental/center HR staff and supervisors/managers to extend existing remote work agreements through June 30, 2022. Those employees who receive supervisory approval to continue their remote work agreement, as is, through the end of the fiscal year will receive written notification regarding the status of their remote work agreement no later than Dec. 31, 2021.
  • CALS Human Resources (HR) is available to assist employees and supervisors with questions related to the extension process, or to discuss how to make other types of changes to the existing remote work agreement
  • All units should consider requests for any new remote work agreements based on the philosophy statements units were asked to craft for the fall of 2021. CALS will revisit the current approach during the spring, based on the latest public health and operational considerations.
  • CALS continues to expect most job responsibilities to be carried out primarily on-site and that all departments/units consider equitable application of the policy.
  • As a reminder, remote working agreements only pertain to employees with remote work on a recurring, weekly schedule. +Overview and policy as of July 21, 2021

We will soon be operating in an environment where onsite work is the campus default, while remote work options exist, and may be approved as an exception to the campus expectation for onsite work. UW-Madison supervisors and employees have been informed that on August 1, 2021, the UW–Madison Remote Work Policy will go into effect. The policy requires all existing remote work agreements to be re-executed and comply with the policy by August 31, 2021.

This process does not apply to faculty or grad student employees (unless they are requesting to work remotely at an out-of-state or international work location) or when an employee with a disability requests remote work as an accommodation (there is a separate process for those requests).

Note: Employees with disabilities can choose to request remote work under the policy without making an accommodation request if they prefer to pursue a remote work agreement without disclosing their disability. However, their request will be evaluated consistent with other remote work requests, not as an accommodation under the Americans with Disabilities Act (ADA)

UW-Madison supervisors are responsible for reviewing and approving requests for remote work. Formalizing remote work agreements will start with an electronic remote work agreement, in which employees will enter information for their request. The request will then be routed electronically through an approval process and, where risks are flagged, a review process. This electronic remote work agreement form will launch on July 25, 2021.

Each unit in CALS will develop and submit a philosophy statement reflecting the unit’s expectations and plan for using multiple types of work modalities, from August 1 – December 31, 2021. The philosophy statement provides CALS HR Managers your unit’s remote work guidelines. There is a template available. Your assigned CALS HR Manager can be contacted with questions.

+Key dates for initial implementation
  • July 25, 2021: Anticipated launch of the UW-Madison electronic remote work agreement form
  • August 1, 2021: Remote Work Policy goes into effect. This is the earliest date a remote work agreement may be approved.
  • August 6, 2021: CALS deadline date for unit philosophy statements
  • August 13, 2021: CALS deadline date for approving unit philosophy statements
  • August 31, 2021: Campus submission deadline for remote work agreement forms for employees engaging in full or partial hybrid or remote work agreements. The Remote Work Policy requires all existing remote work agreements to be re-executed and comply with the policy by this date.
  • December 31, 2021: This is the latest date a fall 2021 remote work agreement may be in effect within CALS. Supervisors may review plans for remote work in calendar year 2022, when meeting with employees for the annual summary performance reviews.
